Terms of Service

FoxInvoices is provided by FOXVISITS LTD("we", "us"), a company registered in Scotland, company number SC570723, registered office 5 South Charlotte Street, Edinburgh EH2 4AN, United Kingdom. By creating an account or using the service you agree to these terms. If you do not agree, please do not use the service.

1. The service

FoxInvoices is a free online tool for creating invoices, quotes and credit notes, keeping client records, and exporting or emailing PDFs. It is provided "as is", without any warranty. We may change, suspend or discontinue features at any time.

2. Your login and companies

  • You are responsible for keeping your login details secure.
  • You must be at least 18 years old, or have the legal ability to enter contracts where you live.
  • One login can hold several companies. If you give another login access to a company, that person can see and change all of the company's data. You decide who has access and you are responsible for it.
  • You are responsible for the accuracy of the data you enter, including invoice numbers, VAT details and client details.

3. Your data

You keep all rights to the data you enter. We store and process it on your behalf only to provide the service. Our Privacy Policy explains how data is stored and who can access it.

You can delete your login at any time from the Your login page in the dashboard. Companies you are the only owner of are deleted with all of their data. Companies that have another owner stay available to that owner.

4. Acceptable use

You agree not to use FoxInvoices to:

  • Issue fraudulent or misleading invoices.
  • Send unsolicited email (spam) or email people who have no business relationship with you.
  • Reverse-engineer, scrape or overload the service in ways that harm its availability for others.
  • Break any tax, accounting or business law that applies to you.

Documents you email through FoxInvoices are sent on your behalf from a FoxInvoices address, and sending limits apply to prevent abuse.

5. Tax and legal compliance

FoxInvoices is a record-keeping tool, not tax, legal or accounting advice. VAT treatment suggestions are a convenience and may not fit your situation. You are solely responsible for making sure the invoices you issue meet the rules that apply to your business. Please ask a qualified accountant if in doubt.

6. Price

The service is currently free. If we introduce paid plans in the future, existing users will be told in advance and the core invoicing features will remain available under a reasonable free tier.

7. Liability

To the extent permitted by law, we are not liable for any indirect or consequential loss arising from your use of the service, including lost revenue, lost data or tax penalties. Our total liability to you is limited to the amount you have paid us in the last 12 months, which for the free service is zero. Nothing in these terms limits liability that cannot be limited by law, such as liability for fraud or for death or personal injury caused by negligence. Keep your own copies of documents you need for your records.

8. Termination

We may suspend or close logins that break these terms. You can stop using the service and delete your login at any time, with the effect described in section 3.

9. Changes

We may update these terms from time to time. When we do, we will change the "last updated" date above and announce material changes inside the app.

10. Law

These terms are governed by Scots law, and the courts of Scotland have jurisdiction.
